Family Prayer Centre ("we", "our", or "us") is committed to protecting your privacy. This policy explains how we collect, use, and safeguard your personal information across our website, our Event Registration (RSVP) system, and our email communications.
1. Information We Collect
We collect the minimum necessary information to provide our services securely:
- Voluntary Information: Your name, email address, and guest details when you register for an event or subscribe to our mailing list.
- Mailing list signup (public): New subscriptions use an invite-only link we provide; you must confirm agreement with this privacy policy before your details are saved. This helps us meet consent requirements under applicable anti-spam and privacy laws.
- Contact & Support: Your name, email, and message contents when you submit a general inquiry, bug report, or system feedback form.
- Security Data: We may use your IP address temporarily during a form submission to enforce rate limits and reduce automated abuse. For mailing list signups, we do not store your raw IP address in our directory; we store only a one-way cryptographic hash derived from it, which cannot be reversed to reveal your IP.
- Email Engagement: We measure whether mass emails are opened and whether links in those emails are used. Opens are recorded using a small image request; link clicks may route through our website first so we can count the click, then send your browser to the destination you chose. See section 3 for details.
- Event-Based Mailing List (Temporary): When you register for an event that uses event-scoped communications, you are temporarily added to a short-lived mailing list tied to that specific event. This is separate from our general mailing list. You consent to this list when you confirm your RSVP (the opt-in notice appears in the registration modal). Membership ends automatically when the event finishes, and all personal data on this temporary list is anonymized within 48 hours of the event's end date.
2. Financial Transactions & Donations
No Financial Data Storage: Family Prayer Centre does not collect, process, or store credit card numbers or bank account information on our servers.
Third-Party Processing: All active online donations are processed securely through PayPal via an external redirect.
3. Cookies & Tracking Technologies
Essential Cookies: We use minimal, strictly necessary cookies to maintain secure user sessions (e.g., keeping administrative staff logged in). Light and dark appearance on the site follows your browser or system display settings and does not rely on a separate stored theme preference.
Web Beacons (Opens): Mass emails may include a tiny invisible image. Loading that image tells our systems that the message was displayed. To limit exposure of personal data in web addresses, open tracking uses an opaque internal subscriber identifier and a cryptographic signature—not your email address—in the request URL.
Link Tracking (Clicks): Links inside mass emails may point first to our website; we verify the request, record a single aggregated “click” for that message (where our systems support it), and then redirect you to the original destination (for example, our homepage, a registration page, or an external site). This helps us understand which content is helpful. Routine transactional messages (such as a one-to-one reply from our team) do not use this link-wrapping unless otherwise noted.
We use open and click information only to improve our communications and reporting; we do not sell this data.
4. Data Retention & Lifecycle Protocols
We employ strict, automated data retention policies to ensure personal data is not stored indefinitely:
- Event Data: Unverified RSVPs are automatically purged from our servers within 48 hours. Fully verified event rosters are permanently deleted 30 days after the event concludes.
- Support Inquiries: Information submitted via contact forms or bug reports is retained only as long as necessary to address your request or resolve the technical issue.
- Mailing Lists: Your email remains on our communication list only until you revoke consent. Unsubscribing instantly halts all non-transactional communications.
- Event-Based Mailing Lists: Temporary event lists are maintained only for the duration of each event. Personal details attached to these lists (name, email, IP-hash) are scrubbed within 48 hours after the event's end date, leaving only anonymous counts used for post-event reporting. Cancelling your RSVP also immediately removes you from the event list.
- Security Logs: Internal administrative ledgers are destroyed on an automated 90-day rolling cycle.
5. Third-Party Integrations
Our audio sermons are hosted via Podbean, which may collect anonymized streaming analytics. Our organizational email infrastructure routes through Google Workspace, securing direct replies under Google's enterprise privacy protocols. We do not sell or share your personal data with third-party marketers.
6. Your Rights & Self-Service Control
Event Cancellations: Every RSVP confirmation email contains a secure, self-service cancellation link that instantly removes your data from the active event roster.
Email Communications & Unsubscribe: In compliance with anti-spam legislation, mass communications include a clear “Unsubscribe” option. The unsubscribe link uses an opaque internal identifier and a time-limited cryptographic token so that your full email address does not appear in the web address. Older messages may still use a previous link format; both are designed to confirm your choice securely. Clicking unsubscribe removes you from our general mass mailing list (transactional confirmations you have already received may still be visible in your inbox history).
Event-Based Mailing Unsubscribe: Emails sent as part of an event-based mailing list carry their own dedicated unsubscribe link (separate from our general list). Unsubscribing from an event list only affects that event; your general mailing preferences are not changed. A final confirmation email is sent when you unsubscribe, and — when the event is still more than three days from ending — that email includes a time-limited link to rejoin the list if you change your mind. Event-based lists are also automatically cleared when you cancel your RSVP.
Volunteer Sign-Up (Event-Scoped): Some events include an optional volunteer sign-up. If you choose to volunteer, a single additional flag is attached to your existing event-list entry so organizers can reach out to helpers specifically. Volunteering does not create a separate record, does not share your information outside the event, and is cleared automatically at the same time as the rest of the event list (whether by the 48-hour post-event scrub, by you unsubscribing from the event, or by cancelling your RSVP).
